Executive Assistant to Senior Director of Finance
Job Summary
Cornerstone Caregiving is seeking a highly motivated and detail-oriented Executive Assistant to join our growing Finance team. This role requires a unique blend of strategic thinking, discretion, analytical acumen, and operational support. You will work closely with the Senior Director of Finance to drive clarity, follow-through, and insight across the organization. The ideal candidate is detail-oriented, confident, and capable of handling sensitive information with integrity.
Responsibilities and Duties
- Executive & Strategic Support:
- Attend Senior Director of Finance’s meetings, take detailed notes, and provide action steps.
- Coordinate and prepare materials for meetings, presentations, and reports.
- Review and evaluate Senior Director of Finance’s emails to identify:
- Actionable items
- Information that should be escalated to leadership
- Act as a strategic partner to the Senior Director of Finance to support clarity and forward motion.
- Financial Reporting & Analysis:
- Create and deliver ad hoc financial reports.
- Provide data-driven insights to support executive decision-making.
- Discretion & Confidentiality:
- Maintain strict confidentiality when handling sensitive financial and organizational information.
- Exercise sound judgment in determining what information should be shared, escalated, or kept private.
- Operational & Process Development:
- Learn and gradually take on responsibilities related to payroll systems and processes.
- Identify gaps or inefficiencies and propose solutions.
- Track deadlines, follow up on action items, and support project management as needed.
- Communication & Coordination:
- Synthesize meeting discussions into clear communication and follow-up tasks.
- Ensure important details are shared with relevant team members or departments.
- Draft, review, and manage correspondence and communications on behalf of the Senior Director of Finance.
- Independent Problem Solving:
- Work autonomously with minimal oversight.
- Proactively identify issues, propose solutions, and drive projects forward.
- Ability to anticipate needs, take initiative, and work independently.
Qualifications and Skills
- 5+ years of progressive experience in finance, accounting, or a related field.
- Exceptional judgment and discretion with confidential and sensitive information.
- Proven ability to think critically, act proactively, and solve problems independently.
- Proficient in Microsoft Office Suite, calendar systems, and communication platforms.
- Comfortable navigating executive-level conversations and managing up effectively.
- Experience creating financial reports and synthesizing data into actionable insights.
- Organized and thorough, with strong written communication and note-taking skills.
- A humble, team-first mindset with the confidence to speak up and drive progress.
