Job Description: 

The VA Authorizations Manager is an integral member of the National Partnerships team, responsible for the development, implementation and oversight of an internal payor specific authorization process. This role will implement and manage client set up and office support to help ensure the successful delivery and continued growth of Veteran specific programs.

This role is highly detail-oriented and data-driven, with a primary focus on accurate data entry, reviewing VA authorizations and VA payor-specific guidelines, building and maintaining Veteran client profiles within the company’s client management system, and maintaining spreadsheets, reports, and other program documentation.

In addition to these core responsibilities, the VA Authorizations Manager will serve as a key resource for employees across the organization and external partners. The position requires regular communication with teams across the organization, responding to questions and requests, providing training and education, supporting process implementation, and helping identify opportunities to improve the overall effectiveness and efficiency of the National Veteran Partnerships program.

Job Responsibilities:

 

Client & Program Administration

  • Review client authorizations, service requirements, eligibility information, and VA payor-specific guidelines to ensure accurate and compliant client setup.
  • Enter, verify, and maintain Veteran client and program information accurately and efficiently within the company’s client management system (AxisCare).
  • Maintain accurate records, documentation, spreadsheets, databases, and program files.
  • Monitor information for completeness, accuracy, and consistency and identify discrepancies requiring resolution.
  • Prepare, update, and maintain recurring and ad hoc reports to support VA program operations and management decision-making.
  • Conduct program audits to ensure accuracy and compliance.
  • Assist with billing-related processes and coordination as needed.

Corporate & Internal Support

  • Serve as a knowledgeable resource and point of contact for employees across a nationwide organization regarding VA processes, procedures, and program requirements.
  • Act as a cross-functional advocate between partnerships, field, and finance.
  • Respond to inquiries in a timely, professional, and solutions-oriented manner.
  • Develop and provide training to employees and other internal stakeholders on program processes, systems, requirements, and best practices.
  • Build strong working relationships with teams and individuals across the organization.
  • Communicate VA specific program updates, changes, requirements, and expectations clearly and effectively.
  • Conduct ongoing internal audits of authorizations and client profiles to ensure accuracy and compliance, providing outcomes and feedback throughout the organization. 

External Partner Communication

  • Communicate professionally with external partners, VA representatives, and other stakeholders as requested by leadership.
  • Work with VA to understand and implement any relevant operational changes. 
  • Coordinate the appropriate internal resources to resolve questions or issues.
  • Support onboarding, implementation, and ongoing operational administration for Veteran focused partnership accounts.

Process Improvement & Program Development

  • Identify opportunities to improve operational workflows, system management, VA payor and partner documentation, communication, and overall program efficiency.
  • Lead or participate in initiatives involving process development, implementation, and continuous improvement.
  • Help develop standardized procedures, resources, training materials, and other tools that support VA program growth and consistency.
  • Investigate problems, identify root causes, develop practical solutions, and follow through to resolution.
  • Assist with the expansion and evolution of the VA program as business needs develop.
  • Take ownership of assigned projects and initiatives and demonstrate the ability to work independently while keeping appropriate stakeholders informed.

Qualifications & Skills:

 

  • Bachelor’s Degree in related field required; additional education or relevant professional experience preferred.
  • Strong computer skills and the ability to learn and effectively utilize multiple software platforms and systems.
  • Strong organizational and time-management skills, with the ability to prioritize and manage multiple responsibilities and deadlines.
  • Strong written, verbal, and interpersonal communication skills.
  • Proven problem-solving and critical-thinking abilities.
  • Ability to understand and apply detailed policies, procedures, authorizations, and VA payor-specific requirements.
  • Ability to work independently while also collaborating effectively as part of a team.
  • Ability and desire to lead initiatives and contribute to process development and implementation.
  • Adaptable and comfortable working in a growing program where processes and responsibilities may evolve.
  • Previous experience in an administrative, client support, operations, healthcare, or similar role preferred.
  • Experience with the in-home personal care industry and VA specific billing strongly preferred.
  • Experience using AxisCare or similar client management, scheduling, or billing software strongly preferred.
  • Experience working with regulated or complex payors, including VA, Medicare, Medicaid, Long-Term Care Insurance, or similar programs, strongly preferred.
